Position Summary:

The Continuous Improvement (CI) Specialist has a unique opportunity to contribute to the success of Seeding Success by walking alongside colleagues, partner organizations, and schools/school districts to implement data-informed processes leading to improvement efforts.

This role combines strong project coordination, facilitation, and data translation skills to guide external stakeholders through structured continuous improvement cycles. The CI Specialist supports partners in making informed decisions by preparing high-quality materials, facilitating effective meetings, and ensuring consistent follow-through across multiple workstreams.

While this role does not hold decision-making authority over partner organizations, it plays a critical role in influencing progress by building trust, guiding teams through data-informed processes, and maintaining strong systems for documentation, tracking, and accountability. This position requires a highly organized, detail-oriented self-starter who can navigate complex, multi-stakeholder environments and move work forward with clarity and consistency.

Duties and Responsibilities: 

  • Continuous Improvement Facilitation

    • Coach and support internal and external teams in implementing continuous improvement processes and building data-informed practices, including the design, implementation, and documentation of rapid improvement cycles (e.g., PDSA cycles)

    • Support partners in collecting, organizing, and using data throughout all stages of continuous improvement cycles to inform planning, implementation, and refinement of strategies

    • Facilitate meetings, training, and improvement cycles with external stakeholders, guiding teams through structured decision-making

    • Build and manage strong relationships with partners and school teams, navigating varying levels of buy-in and using facilitation strategies to drive alignment, engagement, and momentum

  • Project Coordination & Execution

    • Own the coordination of continuous improvement cycles from planning through follow-through, ensuring clear timelines, documented next steps, and accountability

    • Prepare agendas, presentations, and meeting materials to support effective engagement

    • Track progress across multiple projects and proactively identify and execute next steps to ensure work moves forward

    • Support project management of strategic initiatives, ensuring alignment with organizational goals

  • Documentation & Systems Management

    • Create, maintain, and organize SOPs and continuous improvement documentation

    • Ensure all project materials, decisions, and next steps are accurately documented, accessible, and up to date

    • Maintain internal tracking systems to support alignment, transparency, and consistency across projects, demonstrating strong attention to detail

  • Data Utilization & Communication

    • Support efforts to standardize data collection systems across internal teams and partner organizations, particularly related to service utilization and alignment with longitudinal outcomes, to strengthen tracking, evaluation, and impact measurement

    • Analyze and summarize data to identify trends and inform next steps

    • Monitor progress and performance of continuous improvement efforts, using data and quality indicators to assess implementation and outcomes, and make actionable recommendations for adjustments and improvements

    • Translate data into clear, accessible formats for non-technical audiences

    • Develop high-quality written materials, including meeting summaries, action/implementation plans, impact reports, and grant-related documentation as needed

    • Collaborate with internal teams to align on data collection, analysis, and reporting approaches

  • Other duties as assigned.

Location:

Local travel between Seeding Success’ offices and partner organizations' offices is required.

Preferred Qualifications:

  • Bachelor’s degree in education, public administration, data/analytics, or a related field, or equivalent relevant professional experience

  • 3–6 years of experience in program implementation, continuous improvement, project coordination, operations, education, nonprofit work, or a related field

  • Experience facilitating meetings, trainings, or group processes with internal and external stakeholders and building relationships across diverse groups

  • Experience managing multiple projects or workstreams with strong attention to detail and follow-through, and the ability to work independently in a fast-paced, ambiguous environment

  • Experience using data for reporting, monitoring, or decision-making, and producing professional written materials such as reports, implementation plans, or grant-related documents 

  • Experience working in cross-organizational or partnership-based environments preferred

  • Proficiency in Google Workspace tools

  • Lean Six Sigma Yellow Belt certification (or higher) strongly preferred

Preferred Knowledge, Skills and Abilities:

  • Knowledge of continuous improvement methods (e.g., PDSA cycles or similar frameworks) and the ability to apply them in practice with internal and external partners

  • Strong project management and organizational skills, including coordinating multiple concurrent workstreams from planning through execution, maintaining accurate documentation and tracking systems, and ensuring consistent follow-through on next steps

  • Strong analytical skills, including the ability to collect, interpret, and translate large sets of complex data into actionable insights and recommendations, including identifying trends, monitoring progress, and supporting decision-making 

  • Strong facilitation skills, including leading meetings, trainings, and structured decision-making processes with diverse stakeholders, building alignment, and navigating varying levels of buy-in without formal authority, and guiding teams toward clear decisions and next steps

  • High attention to detail, with the ability to manage competing priorities and maintain accuracy across multiple systems and deliverables

  • Strong self-starter mindset with demonstrated ability to take initiative, identify opportunities, and independently drive projects forward with minimal supervision and strong follow-through

  • Demonstrated ability to quickly learn new concepts, tools, technologies, or methodologies and apply them effectively in evolving, real-world environments

  • Ability to build strong relationships across diverse stakeholders, find common ground, and facilitate consensus-building in cross-organizational environments

  • Strong written and verbal communication skills, including the ability to represent the organization externally and translate complex information into clear, accessible materials (e.g., reports, presentations, one-pagers, implementation plans, meeting summaries)

  • Ability to work independently in fast-paced, ambiguous, outcomes-driven environments with minimal supervision
